A one-afternoon setup checklist for your gear cage

You do not need a semester-long migration to stop losing track of gear. An afternoon is enough to get a checkout loop running.

  1. Create a workspace for your media program, lab, or AV cage.
  2. Import the inventory you already track in a spreadsheet (CSV import on Gear Room and above).
  3. Print QR labels and stick them on the items that circulate most.
  4. Invite one other staff member and a few borrowers.
  5. Run one checkout and return with a due date and condition notes.

Once that loop works, add kits, reservations, and service logs. The goal is operational clarity by tomorrow—not a perfect asset taxonomy on day one.

What “done” looks like

  • Every high-circulation item has a QR label
  • Staff can check out without opening a spreadsheet
  • At least one return includes a condition note
  • You can answer who has it and when it is due without a group chat
