Not everything is a serial number

Individually tracked assets each get their own record and QR label—cameras, bodies, unique tools. Consumables are different: one record is a pool of identical units with a shared QR, a quantity, and a minimum. Choose the type that matches how the room actually uses the item.

Quantity pools with one QR

A consumable holds a quantity and an optional minimum. The whole pool shares one QR label, so a single scan finds the stock rather than hunting one unit among hundreds. Print labels and open the live consumable profile like any other tagged item.

Stock by location

Adjust, replace, or transfer stock per location with a reason so counts stay honest across cages and closets. When batteries move from staging to the front desk, the transfer is recorded instead of vanishing into a side sheet.

Issue to a borrower

When stock leaves the room, issue units to a borrower. Consumables are used up—they are not returned as loans the way cameras or accessories are. The issue records who took how much so the closet count stays accountable.

Minimum quantity and low stock

Set a minimum on each consumable and filter the list when quantity is at or below that threshold. Low-stock reports surface what to reorder, and the workspace can receive a low-stock digest so the supply closet does not go quiet until someone notices an empty bin.

Consumables in kits

Include consumables in a kit with a required quantity so a camera package that always ships with spare batteries and cards keeps stock counts straight when the kit checks out.

Restock, correct, and transfer

Day-to-day stock changes stay in the product: restock after an order, correct a miscount, or move quantity between locations. Each change keeps the room’s numbers current without a parallel inventory spreadsheet.

Returnable accessories

If units go out and come back—cables, batteries you reclaim, loaner accessories—model them as accessories with quantity checkout and return. Consumables are for stock that is issued and gone. Both types sit beside assets and kits in the same inventory.
