Book the shoot before the conflict

Borrowers request gear for a window. Admins approve, tweak, or reject. Availability checks reduce double-booking before the shoot starts.

FeaturesReservations and calendar

“Two people booked the same A7S” is a classic gear-room failure. Reservations put requests on a calendar with conflict detection against other bookings, active checkouts, and service downtime.

Double-booking is a gear-room failure mode

Weekend shoots and shared projectors collide when availability lives in someone’s head. Reservations make the ask visible before gear leaves the cage.

Request a date window

Borrowers submit a reservation for a date range from the portal or staff create one on their behalf. Pending requests show up for review instead of disappearing into email.

  • Borrower or staff-created requests
  • Date range for the shoot or event
  • Pending queue for the desk

Approve, reject, or bulk approve

Admins approve, reject with a reason, or bulk-approve a queue. Borrowers can edit or cancel while a request is pending or approved, from My gear.

  • Approve or reject with a clear outcome
  • Bulk-approve when the queue is clean
  • Borrowers manage pending or approved asks from My gear

Availability and calendar

Conflict checks look at overlapping reservations, checkouts, and service downtime. The calendar view keeps the week visible for desk staff so Friday’s shoot is not a surprise.

Kits and packages

Kit availability checks help when packages are in play—so a camera kit request accounts for the bag, not only one body in isolation.

What reservations are not

Reservations book gear for a window; they do not replace staff or kiosk checkout when the loan starts. Quantity booking of consumable pools is not part of this workflow—issue consumables when stock leaves the room.

Common use cases

  • Student media requests for weekend shoots.
  • AV desk calendar for shared projectors and mics.
  • Reject a conflict when gear is already in repair downtime.
  • Bulk-approve a clean Monday queue before class checkouts start.
